Undergraduate Programs Coordinator

Overview
The Undergraduate Programs Coordinator plays a crucial role in the execution and daily oversight of initiatives and activities associated with the School's undergraduate offerings. This position serves as the primary liaison among students, faculty, and various departments within IE Business School; coordinating diverse tasks and program elements, managing communication channels, implementing policies and procedures, facilitating program logistics, and assisting faculty to guarantee an exceptional educational experience for students.
Reports directly to the Associate Directors and may supervise Program Assistants as necessary. The role involves interaction with all faculty members, students, different IE departments, and external organizations essential for program operations.
Key Responsibilities
Student Engagement
Conduct regular meetings with students to address concerns, provide guidance, and offer support with a focus on empathy, sensitivity, and a professional customer service approach. Collaborate with class representatives alongside other team members to manage relationships effectively. Assist students experiencing academic challenges or other difficulties within the program. Oversee (both written and verbal) communications with students, including routine updates, presentations, and information sessions. Utilize student feedback to identify opportunities for enhancing their overall experience.Collaboration with Faculty and Departments
Communicate with faculty to relay specific student or group circumstances, request feedback, ensure timely submission of grades and syllabi, and provide ongoing support to teaching staff. Work in partnership with various IE departments—such as Admissions, Marketing, Planning, Documentation, Student Services, Student Life, Registrar's Office, Maintenance, and International Mobility—to ensure a successful student journey.Professional Development
Assist Associate Directors in coordinating and implementing new curricular and extracurricular initiatives. Supervise and guide Program Assistants with professionalism and maturity. Take charge of specific program components, areas, initiatives, and projects. Maintain and enhance academic guides and other materials for both students and faculty.Qualifications
A Bachelor's Degree is mandatory. Bilingual or advanced proficiency in both English and Spanish (written and spoken), with significant professional experience in both languages. A minimum of 3 years of relevant professional experience is required. Candidates must possess a valid EU work permit. International experience is highly preferred. Strong project management skills are essential. The ideal candidate will exhibit excellent customer management abilities, capability to perform under pressure, and a high level of accountability. Experience in multi-stakeholder environments, along with exceptional communication skills and a strong customer orientation, is crucial. Experience in global management education or with business schools is an advantage.Opportunities
