Main Responsibilities:

• Assist the Sales & Marketing department in its daily tasks, providing administrative support and contributing to the team's efficiency.
• Facilitate and optimize the workflow of the Sales & Marketing department, ensuring seamless collaboration and communication among team members.
• Handle daily administration, including email management, forwarding incoming mails to relevant departments, and maintaining accurate records.
• Coordinate fam trips, updating status in complimentary summaries, CRM, and flagging/hIGHLIGHTing to properties 48 hours prior to arrival.
• Create or review complimentary request forms, ensuring accuracy and approval from DOSM/ADOSM/Sales Manager.
• Develop and send trade mailings, crafting engaging content to promote hotel services.
• Assist in creating quarterly newsletters, highlighting key milestones and achievements.
• Prepare cooperation agreements, barter agreements, value-adds, and tactical offer flyers, ensuring consistency and quality.
• Handle voucher requests, ensuring prompt and accurate processing.
• Update content in online portals, such as WETU, Safari Portal, and The Travel Hub, to maintain a strong online presence.
• Ensure OneDrive/Sharepoint collateral and files are up-to-date, providing easy access to essential documents.
• Develop and complete brand/property profiles for trade show registrations, showcasing hotel services and features.
• Assist with graphics production for trade shows, creating visually appealing materials.
• Download S&M property month-end reports in the CRM, proofread them, and prepare them for distribution.
• Submit content for travel directories and partners' brochures/website features, promoting hotel services and offerings.
• Proofread brochure pages and online content, ensuring accuracy and quality.
• Assist DOSM in creating comprehensive competitor reviews and rate checks, providing valuable insights.
• Update the CRM, OneDrive, and Sharepoint as required, maintaining accurate records and ensuring seamless collaboration.
• Follow up on payment of program invoices and commission payment invoices, ensuring timely processing.
• Compile partner production statistics from property PMSs in preparation for annual leisure contracting.
• Prepare expense reports, ensuring accurate and timely submissions.
• Provide administrative support to the Sales & Marketing team, assisting with tasks and projects as requested.

Requirements:

• The position will be home-based in or around Barcelona until further notice, or alternatively based in our office in Ciutadella de Menorca.
• Minimum 2-3 years' experience in a similar role for a hotel or hotel company.
• Exceptional attention to detail and ability to handle complex tasks.
• Fluency in English and good understanding of the travel industry and its requirements.
