Office Operations Coordinator

C.H. Robinson is seeking a highly organized Office Manager for our Barcelona office. This dynamic role involves managing various responsibilities, requiring confidence, service orientation, and meticulous attention to detail.
Key Responsibilities:
• Reception Management: Handle phone calls, greet visitors, manage post and packages.
• Office Supplies: Order and maintain supplies; manage supplier contacts.
• New Employee Onboarding: Prepare equipment and supplies for new hires.
• Cleaning and Maintenance Oversight: Coordinate cleaning services, repairs, and general upkeep.
• Emergency Preparedness: Oversee first aid supplies, evacuation procedures, and office safety protocols.
• Building and Supplier Management: Liaise with building service providers and external suppliers for upkeep and cost management.
• Event and Meeting Coordination: Arrange on-site/off-site meetings, including travel and accommodations.
• Calendar and Travel Management: Maintain executive calendars, plan meetings, and book efficient travel options.
• Office Checks: Conduct regular inspections to ensure cleanliness and order.
• Ad Hoc Support: Fulfill miscellaneous tasks as needed.
Qualifications:
• Bachelor's degree or equivalent experience.
• Fluent English and Spanish required; French or German an advantage.
• Ability to organize, plan, and prioritize with minimal direction.
• Strong multi-tasking, time management, collaboration, and discretion skills.
• Self-driven and autonomous individual who values diversity and inclusivity.
