Job Title: Program/Project Management Officer

We are seeking a highly skilled Program/Project Management Officer to join our team at Ambit. As a key member of our organization, you will be responsible for providing exceptional program management services to our clients, ensuring the successful delivery of projects and programs.

Key Responsibilities:
  • Integrated Planning and Monitoring: Develop and maintain comprehensive program plans, ensuring dependencies are identified and effectively managed.
  • Dependency and Resource Management: Identify inter-project dependencies and create resource plans detailing roles and responsibilities.
  • Continuous Plan Updates: Regularly update program plans based on changes in project planning.
  • Financial Management Support: Assist in all aspects of program financial management, including budget setting, tracking actuals and forecasts.
  • Vendor and Contract Management: Initiate vendor contract approval processes and manage accruals and year-end provisioning.
  • Documentation and Proposal Contributions: Contribute to planning documentation, including program contracts and business cases.
  • Project Contract Drafting: Draft project contracts and collaborate with project managers to align contracts with plans.
  • Document Management: Manage program documentation, including version control and access management.
  • Meeting Coordination and Reporting: Organize planning, status, and steering committee meetings, taking minutes and ensuring action items and decisions are tracked.
  • Risk and Issue Management: Maintain program risk registers, administer action/issue logs, and escalate issues as needed.
Requirements:
  • Planning: Ability to create and monitor complex integrated program plans.
  • Risk Management: Capable of supporting program/project managers with risk identification and control.
  • Issue Management: Proficient in supporting program managers in identifying issues that threaten the program.
  • Change Management: Supports program managers in controlling and managing changes to the program.
  • Stakeholder Management: Supports program managers in identifying and communicating with stakeholders.
  • Information Management: Ability to manage complex data flows, ensuring information management systems maintain data safety and integrity.
  • MS Office Skills: Advanced skills required in MS Excel.
  • MS Project Skills: Advanced skills required in MS Project.
  • SharePoint: Competency in SharePoint (training will be provided if necessary).
  • P360 (MS Project and UMT Tool): Familiarity with P360 (training will be provided if necessary).
  • Microsoft Power BI: Advanced Power BI skills.
  • Excellent English Language skills (oral and written).
  • European citizenship or work permit in Spain.
  • Availability to travel regularly.
