Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. As a key member of our office, you will provide exceptional customer service, support our Office Manager, and ensure the smooth operation of our office.

Key Responsibilities

  • Provide administrative support to ensure efficient operation in the office
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, and maintaining office supplies inventory
  • Exhibit polite and professional communication via phone, email, and mail
  • Support the Office Service team by performing tasks related to organization and strong communication
  • Ensure operation of office maintenance by completing preventive maintenance requirements, calling for repairs, and evaluating new equipment and techniques
  • Provide information by answering questions and requests from internal and external people
  • Contribute to team effort by accomplishing related results as needed
  • Constantly help with meetings: preparation of rooms, catering, and constant support
  • Stocking and maintenance of offices (kitchen)
  • Constant support for invoicing and control of internal informatic systems
  • Support to travel arrangement, together with the rest of the team
  • Arrange meetings by reserving rooms and managing refreshments

Requirements

  • Minimum 3 years of experience in a similar position
  • Microsoft 365 - Excel (compulsory)
  • Tools: SAP - Modulo Pedidos Indirectos (desirable)
  • Languages: English: Advanced; Spanish: Advanced; Catalan: Intermediate / Advanced
  • Competencies: Able to work under tight deadlines; Methodical with attention to details; Adaptability; Good communication skills; Communication with Diverse Stakeholders; Ability to Handle Multiple Tasks Simultaneously
