Workplace Coordinator Barcelona

About the Role:
We are seeking a highly organized and customer-focused Workplace Coordinator to join our team in Barcelona. As a key member of our Workplace team, you will be responsible for ensuring the smooth day-to-day operations of our office, providing exceptional service to our employees and guests, and collaborating with our vendors and partners to deliver world-class services.
Key Responsibilities:
- Oversee Workplace operations for our Barcelona office, including managing vendors, coordinating events, and ensuring seamless execution of logistics.
- Act as the primary point of contact for employees and guests, providing exceptional customer service and resolving issues in a timely and professional manner.
- Collaborate with our Workplace Manager and other team members to develop and implement new technologies and procedures, and to create a positive and productive work environment.
- Manage budgets, track expenses, and ensure accurate financial reporting.
- Coordinate office moves, desk allocation, and other logistical tasks to ensure a smooth transition for employees and guests.
- Develop and maintain relationships with our vendors and partners to ensure high-quality services and timely delivery.
- Assist with the coordination of facilities for new starters, including desk allocation, security cards, and other necessary arrangements.
- Ensure all staff and visitors are adequately informed and trained about health and safety standards.
- Support business partners across the company, as needed, in a complex and multicultural organization.
Requirements:
- Proactive and positive attitude, with a strong focus on customer service and hospitality.
- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Strong communication and interpersonal skills, with the ability to build and maintain relationships with employees, vendors, and partners.
- Ability to work independently and as part of a team, with a high degree of initiative and self-motivation.
- Fluent in English and Spanish, with excellent written and verbal communication skills.
Qualifications:
- Experience in customer service and problem-solving, with a strong track record of delivering high-quality results.
- Ability to build and track budgets, with a strong understanding of financial management principles.
- Strong computer skills, with proficiency in Microsoft Office and other relevant software applications.
