Job Title: Executive Support Specialist

About the Role:

Mena Recruit Pty Ltd is seeking an experienced Executive Support Specialist to provide comprehensive administrative support to our Partners. As an integral member of our team, you will be responsible for managing complex schedules, coordinating travel arrangements, and ensuring seamless communication with clients and colleagues.

Key Responsibilities:

  • Manage and coordinate schedules, meetings, and travel arrangements for Partners
  • Provide administrative support, including email management, document preparation, and data entry
  • Build and maintain relationships with clients and colleagues, both internally and externally
  • Assist with client development efforts, including coordinating meetings and events
  • Manage marketing activities, including updating databases and preparing marketing materials
  • Update client tracking databases and maintain accurate records
  • Assist with personal work, including creating presentation decks and managing expenses
  • Provide phone coverage, work coverage, and team support as needed

Requirements:

  • Minimum 5 years of direct executive secretarial experience in a multinational company, professional services firm, or holding an executive level position within a bank
  • Excellent communication skills in English, with French speaking a bonus
  • Computer literate with advanced experience in Microsoft Word, Outlook, and Intranet, and intermediate experience in Excel and PowerPoint
  • Ability to work independently and as an integral member of various teams
  • Strong customer service focus and ability to meet deadlines

Working Hours: 9am-6pm from Sunday to Thursday, with flexibility required on hours worked
