Business Operations Role

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at Choiceit. As an Executive Support Specialist, you will play a critical role in supporting our CEO and management team in their daily operations.

Key Responsibilities:

  • Manage the CEO's schedule and task priorities, ensuring seamless execution of daily operations.
  • Coordinate meetings with clients and partners, including setting up logistics and ensuring timely follow-ups.
  • Attend and document meetings, providing accurate and timely reports to the management team.
  • Provide administrative support to the CEO and team, including travel arrangements and expense reports.
  • Plan and organize travel itineraries, including transportation, lodging, and schedules.
  • Support the Back Office team with tasks such as travel expense reports and other administrative duties.

Personal Support

As an Executive Support Specialist, you will also provide personal support to the CEO and his family, including:

  • Representing the CEO and his family in interactions with third parties.
  • Managing travel plans, including transportation, lodging, and schedules.
  • Supporting family needs, including scheduling and event planning.
  • Overseeing household maintenance and managing utilities and other property-related expenses.
  • Tackling ad-hoc projects as needed by the business owner.
  • Managing home staff to achieve the aforementioned goals.

Requirements:

  • High IQ and EQ, with a proven track record of supporting senior management in a dynamic environment.
  • At least 5 years of experience in a similar Executive Assistant role, with language proficiency in Spanish (B2+) and English (C1+), and Russian as a plus.
  • Advanced user of MS Office/Google Suite, with the ability to prepare and edit written documents, official letters, and conduct data analysis.
  • Exceptional organizational skills, with the ability to manage time effectively, prioritize tasks, and handle scheduling for individuals and groups.
  • Adept at resolving unpredictable issues and ad-hoc problems swiftly, showcasing adaptability and critical thinking.
  • Excellent communication skills, with the ability to build and maintain strong relationships with team members, clients, and partners.
  • Fast learner with a strong competency in digital services, able to quickly adapt to new technologies and processes.
