Job Title: Receptionist - Office Administrator

Page Personnel is seeking a highly organized and detail-oriented Receptionist - Office Administrator to join our team in Madrid. As a key member of our front office team, you will be responsible for providing exceptional customer service, managing administrative tasks, and maintaining a professional and welcoming environment.

Key Responsibilities:
  • Welcome and direct visitors, ensuring a smooth and efficient experience.
  • Manage incoming phone calls, responding to queries and forwarding messages as necessary.
  • Maintain office security, adhering to safety procedures and controlling access via the reception desk.
  • Perform administrative duties, including filing, photocopying, and organizing documents.
  • Schedule meetings and appointments, and coordinate travel arrangements.
  • Update calendars and schedule meetings, ensuring seamless coordination.
  • Order office supplies and maintain inventory, ensuring a well-stocked and efficient workspace.
  • Assist in the preparation of regular reports, providing valuable insights and data.
  • Place orders for office supplies and food, ensuring a smooth and efficient operation.
  • Contact suppliers, building strong relationships and ensuring timely delivery.
  • Support billing, ensuring accurate and timely processing.
Requirements:
  • Proficiency in Microsoft Office Suite, with a strong understanding of its applications.
  • Hands-on experience with office equipment, including printers, scanners, and photocopiers.
  • Solid written and verbal communication skills, with the ability to articulate complex ideas.
  • A proactive personality, with a strong ability to work independently and as part of a team.
  • Ability to be resourceful and proactive when issues arise, with a strong problem-solving mindset.
  • Multitasking and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • A customer service attitude, with a strong focus on delivering exceptional experiences.
  • Proficiency in English (C2 level), with a strong understanding of business terminology.
  • A high school degree, with additional certification in Office Management or Secretarial a plus.
  • A competitive salary range of between €30,000 and €40,000, depending on experience.
  • Health insurance, providing comprehensive coverage and peace of mind.
  • A permanent contract, offering stability and security.
  • A schedule from Monday to Friday, 9:00 AM to 6:00 PM, with regular breaks and time off.
