The Role

We are seeking an experienced Office Manager to join our Barcelona office team. As the first point of contact for all workers and visitors, you will be responsible for ensuring seamless execution of events, managing visitor access, streamlining office supplies, and overseeing budget optimization.

Main Responsibilities
  • Coordinate Events: Organize internal and external events, ensuring smooth logistics and a high-quality experience for attendees.
  • Prepare Offsite Meetings: Oversee accommodations, on-site arrangements, and transportation for a seamless team experience.
  • Manage Visitor Access: Ensure temporary visitor access, parking, and transport are handled efficiently.
  • Streamline Office Supplies: Lead partnerships for essential supplies and welcome packs, catering to team needs across departments.
  • Negotiate Service Contracts: Handle office-related provider contracts and optimize tariffs for cost-effectiveness.
  • Facilitate Internal Communication: Support efficient communication and document flow within the company.
  • Support New Hires: Collaborate with People Experience to ensure a smooth onboarding experience for new team members.
  • Handle External Contacts: Manage incoming communications via phone, mail, and visitor interactions.
  • Oversee Shipments and Travel: Organize shipments and coordinate domestic and international travel logistics.
  • Maintain Office Budgets and Policies: Optimize office expenses and ensure up-to-date policies and databases.
  • Manage Company Flat Maintenance: Ensure comfortable and functional accommodations for our team.
Requirements

To succeed in this role, you should possess:

  • At least 3 years of relevant experience as an Office Manager, preferably with international exposure.
  • Ownership and a proactive mindset, with a focus on improving end-to-end office processes and building relationships across the business.
  • Excellent prioritization and attention to detail skills, with a focus on delivering high-quality results.
  • Strong cross-team integration skills, with the ability to communicate effectively with various stakeholders.
  • A solid knowledge of Microsoft Office, particularly Excel and Word, and experience with Travel perk or similar platforms is a plus.
  • Fluency in English and Spanish, with knowledge of Polish being a strong advantage.
Logistics

This role is based in our Barcelona office, with face-to-face interaction with the team most of the time.

Salary

The estimated salary for this role is approximately €45,000 - €60,000 per year, depending on qualifications and experience.
