Estimated Salary: €35,000 - €45,000 per year



The Role


We are seeking a highly organized and detail-oriented Office Manager/Executive Assistant to support our team at our Nexus offices in Algeciras, Spain.


This role will involve providing exceptional administrative support to senior leaders, managing office operations, and ensuring a smooth, efficient, and organized work environment.


Responsibilities include:



  • General administration tasks such as secretarial support, mailroom & filing support, and reception/telephone/switchboard duties;
  • Scheduling meetings, travel arrangements, and coordinating events;
  • Managing office supplies and equipment, ordering, and maintenance;
  • Processing office purchase orders (POs) and invoices, ensuring timely payments and accurate record-keeping;
  • Coordinating HSSE (Health, Safety, Security, and Environment) procedures and emergency protocols;
  • Assisting with office budgeting and expense tracking;
  • Developing and implementing office policies and procedures to enhance productivity and workflow;
  • Serving as a point of contact for office-related inquiries and external vendors;


Your Skills and Experience


We are looking for candidates with:



  • Proven experience as a Personal/Executive Assistant/Office Manager in an international organization;
  • Outstanding attention to detail and organizational skills;
  • Self-starting abilities, proactive in setting and managing tasks and priorities in a fast-paced environment;
  • Strong communication skills, with the ability to communicate written and verbal messages clearly to diverse audiences;
  • Excellent interpersonal and collaborative team skills, with a true can-do attitude;
  • Experienced Project Management skills, with the ability to drive results and remove unnecessary complexity;
  • Demonstrated good judgment, tact, and discretion when dealing with confidential information;
