Job Summary

The Property Operations Administrator plays a crucial role in the management of common areas within a Data Center (DC) and other office spaces. This position works closely with the Service Planning Manager to ensure the comprehensive management and maintenance of Digital Realty's White Space areas.

This role involves providing administrative support to ensure the seamless daily operations of buildings and exterior surfaces. Key responsibilities include:

  • Collaborating with cross-functional teams to gather data for vendor performance evaluations
  • Communicating effectively with internal teams to address administrative aspects of vendor contracts and compliance
  • Managing purchase orders and invoices through an internal software tool
  • Preparing budgets and real-time updates of cost control (Opex and Capex)
  • Managing contracts, including renewals, new contracts, cost control, and administrative collaboration on Request for Proposal processes
  • Documenting vendor contract administration and maintaining organized contract tracking
  • Ensuring accurate and up-to-date records for easy retrieval
  • Assisting in monitoring vendor contract compliance with Global standards
  • Supporting the process of requesting Certificates of Insurance (COIs) from vendors
  • Managing a comprehensive and regularly updated database of critical vendors
  • Assisting in data collection for contractors' performance assessments
  • Contributing to quarterly vendor scoring reports
  • Providing administrative support in coordinating vendor communication
  • Providing administrative oversight for site operational purchase orders, receipting, and invoicing
  • Assisting in ensuring the effective management of the purchase order process for vendors
  • Supporting in overseeing and coordinating the purchase of all office goods and services
  • Assisting in maintaining accurate records and facilitating procurement processes
  • Organizing site access as required, including vendors, contractors, and third-party suppliers

The Property Operations Administrator will also provide analysis and decision support to the Director Operations Manager and other stakeholders within the company to improve operational financials. This includes operational expenses controlling, reporting, analysis, and interpretation of KPIs and financial information to appraise operating results in terms of profitability and performance against budget.

The ideal candidate will possess effective communication skills, organizational skills, attention to detail, and customer service skills.
