Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Reconocida Empresa. As an Administrative Assistant - Facilities Support, you will be responsible for providing exceptional support to our facilities team, ensuring a smooth and efficient work environment.

Key Responsibilities

  • Provide general support to visitors and vendors, ensuring a positive first impression of our company.
  • Manage and resolve facility issues under the supervision of the General Manager.
  • Organize office events and staff meetings, ensuring seamless execution.
  • Provide administrative support to the General Manager, including coordination of labor tasks and maintenance of the clocking system.
  • Coordinate annual medical checks, fire extinguishing system checks, and health and safety trainings.
  • Manage H&S reports, new starter and leaver administrative tasks, and training agendas.
  • Contribute to the continuous improvement of procedures, policies, and work instructions.
  • Support the HR site Manager with general administrative tasks.

Requirements

  • Professional qualification in administrative assistance.
  • Excellent written and verbal communication skills.
  • C1 English level.
  • Ability to resolve complex tasks and manage multiple priorities.
  • Experience in a busy environment and helpdesk operations or similar support role.
  • Proactive and self-motivated, with a confident team worker attitude.
  • Ability to demonstrate professionalism, discretion, and confidentiality.
  • Proficiency in MS Office, including Excel, Word, and PowerPoint.
  • Knowledge of SAP Success Factors is advantageous.
