Position Summary and ResponsibilitiesWe're seeking an Administrative Assistant - Facilities and HR Support to join our team. This role will be responsible for providing administrative support to our General Manager and HR site Manager, as well as managing facilities and HR-related tasks.
Key Responsibilities:- Facilities Support:
- Provide general support to visitors and vendors.
- Liaise with office suppliers and vendors.
- Manage and resolve facility issues under the supervision of the General Manager.
- Organize office events and staff meetings.
- Provide administrative and operational support to the General Manager regarding facilities.
- HR & H&S Support:
- Coordinate annual medical checks.
- Run regular fire extinguishing system and first aid kit checks.
- Coordinate health and safety trainings.
- Manage regular H&S reports.
- Provide administrative support to labor tasks in coordination with the external labor advisor and HR site Manager.
- Coordinate and maintain the clocking system, including regular reports.
- Manage new starters and leavers administrative tasks.
- Organize training agendas and monitor sessions, including hot and cold assessments.
- Provide recruitment administrative support.
- Contribute to the continuous improvement of procedures, policies, and work instructions, ensuring best practices.
- Contribute to HR regular metrics reporting for areas of responsibility.
- Provide general administrative support to the HR site Manager.
To be successful in this role, you will have the following skills and experience:
- Professional qualification in administrative assistance.
- Excellent written and verbal communication skills, with the ability to prepare and read documents.
- C1 English level.
- Ability to resolve and manage complex, multi-faceted tasks.
- Experience dealing with different cultures is highly convenient, due to our international working environment.
- Previous experience in a busy environment.
- Previous experience of helpdesk operations or similar support role is desirable.
- Proactive and self-motivated, confident team worker.
- Ability to demonstrate professionalism, discretion, and confidentiality at all times.
- Proficiency in MS Office, including Excel, Word, and PowerPoint.
- Knowledge of SAP Success Factors would be advantageous.
