We are seeking a highly motivated and organized Operations Assistant to join our admin and operations team at Eticas AI, a global leader in Responsible and Fair AI. As a key member of our team, you will play a crucial role in coordinating and implementing operations and people processes to support our growth objectives.

Your Key Responsibilities:

  • Collaborate with the team to prepare and submit financial documents, ensuring timely processing of reimbursements and service invoices.
  • Assist in administrative tasks related to people management, including maintaining records and supporting HR functions.
  • Manage team access and administration of software and tools such as Microsoft Office 365, ClickUp, and Zoho.
  • Support time-off requests and manage team calendars to ensure efficient scheduling.
  • Assist in coordinating company events, travel, meetings, and training sessions to facilitate smooth operations.

Requirements:

  • Fluency in both Spanish and English, with excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with virtual communication tools.
  • Experience with people management software (e.g., Zoho People, BambooHR, Workday) is an advantage.
  • Exceptional organizational and multitasking abilities, with strong attention to detail and problem-solving skills.
  • Ability to work independently with minimal supervision; self-motivated and disciplined.
  • Comfortable working in a fast-paced and evolving environment, with the ability to adapt to new technologies and processes.
  • Familiarity with financial processes and experience handling financial documents is a plus.
