Summary / Role Purpose

The Sales Operations Analyst II plays a crucial role within the team, overseeing the comprehensive process for renewals and new sales. This position involves collaborating with an assigned group of account managers to facilitate the sales cycle and achieve business goals, while serving as the primary liaison for both internal and external stakeholders. A thorough understanding and precise application of company policies and procedures are essential.

Key Duties and Responsibilities

  • Project Management: Act as the Subject Matter Expert for specific topics within the Sales & Order Operations team. Independently manage designated areas of expertise, enhance knowledge, train new and existing staff, and develop training materials.
  • Problem Solving: Exhibit a strong sense of urgency and independence in addressing challenges, efficiently locating necessary information, and applying sales policies with minimal supervision.
  • Team Collaboration: Demonstrate excellent teamwork and communication skills, working professionally with all internal departments.
  • Sales Cycle Management: Prepare quotation proposals, legal documents, and licensing requests. Ensure all quotations are complete, accurate, and compliant with company policies. Collaborate with account managers to process and expedite sales orders and related workflows. Act as the primary contact for customer inquiries regarding order status and account issues.
  • Renewal Administration: Manage renewal opportunities within the CRM, including revenue reconciliation and maintaining accurate forecasts. Conduct research on historical accounts and pricing situations to assist in quote generation.
  • Account Administration Support: Assist with the completion of supplier corporate data forms and manage license changes and transfers, ensuring all necessary approvals are obtained.
  • License Key Management: Create temporary and evaluation license keys in accordance with current policies for distribution to prospects and customers.
  • Revenue Reconciliation: Support the reconciliation of actual revenues to forecasts and assist new account managers with training on sales order processing protocols.
  • CRM Data Maintenance: Update CRM records with current information, including pricing adjustments and account reassignments.
  • Additional Duties: Perform other responsibilities as assigned by management.

Minimum Education/Certification Requirements and Experience

  • Associate degree in business or accounting or related field with a minimum of 3 years of experience in a sales operations or support role. A Bachelor's degree is preferred.
  • At least 1 year of experience in sales order processing.
  • Proficiency in both German and English.
  • Availability for extended hours at the end of the quarter.
  • Strong customer service orientation and teamwork skills.
  • Highly motivated and results-driven, with the ability to manage complexity and change.
  • Excellent verbal and written communication skills, with a focus on relationship building.
  • Good judgment in problem-solving and issue escalation.
  • Ability to handle confidential information appropriately.
  • Familiarity with CRM systems and knowledge of quote-to-cash processes.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficient in presentation and spreadsheet software, such as Microsoft PowerPoint and Excel.
