About the Role

We are seeking a highly skilled Administrative Coordinator to join our dynamic team in Bratislava, Slovakia. As a key member of our team, you will play a vital role in ensuring that our customers receive exceptional service and support.

Key Responsibilities
  1. Manage and process orders with accuracy and efficiency.
  2. Review and manage contracts data in our Enterprise Resource Planning (ERP) system, ensuring compliance with company policies.
  3. Process data for new orders and order modifications, maintaining a high level of attention to detail.
  4. Create billing invoices and credit notes, ensuring timely and accurate processing.
  5. Prepare and send indexation renewal letters to customers, providing clear and concise communication.
  6. Request guarantees for placed orders, ensuring seamless transaction processing.
  7. Complete commercial correspondence and support project managers with order-related matters, providing exceptional customer service.
  8. Communicate verbally and in writing in French and English, serving as a liaison between internal and external stakeholders.
  9. Act as the first point of contact for contractual questions from customers, providing prompt and accurate responses.
  10. Check contracts and approvals in our Customer Relationship Management (CRM) tool, ensuring compliance and accuracy.
  11. Support and manage dispute resolution, working closely with internal stakeholders to resolve issues efficiently.
  12. Maintain the master data of our customers, ensuring accuracy and up-to-date information.
  13. Communicate proactively with clients, providing timely and effective support.
  14. Run calculations for customer offers, ensuring accurate and competitive pricing.
Requirements
  1. Fluency in French and English, with excellent verbal and written communication skills.
  2. Ability to effectively communicate with internal and external customers, providing exceptional customer service.
  3. Excellent proficiency with Microsoft Office suite, with a strong focus on Excel.
  4. Effective time management, meeting deadlines and prioritizing tasks efficiently.
  5. A positive attitude and ability to provide excellent customer service, with a strong focus on teamwork and collaboration.
  6. Ability to work independently and carry out assignments to completion, with minimal supervision.
  7. Minimum experience working in an administrative role, preferably within finance or legal.
Preferred Qualifications
  1. Previous experience in finance, customer service, order to cash, quote to cash, accounts receivable, billings, disputes, collections, contract administration, or legal-related work.
  2. High proficiency with Microsoft Excel, with experience in data analysis and reporting.
