Job Overview

As a key player in our organization, you will oversee various administrative and office management functions that are essential for our operational success.


Key Responsibilities:

Administration:

  • Oversee financial operations, including managing cash flow, expenses, and payment processes.
  • Collaborate with external advisors on legal, tax, and compliance matters.
  • Ensure all contracts and documentation adhere to company policies and local regulations.
  • Supervise the preparation and submission of reports, presentations, and critical documents.
  • Assist the Managing Director with tasks related to entity management.

Office Management:

  • Lead the local office team to achieve operational excellence.
  • Manage facility operations and maintain relationships with property owners.
  • Coordinate travel arrangements in accordance with company policies.
  • Develop and maintain relationships with service providers, including accountants, legal advisors, and financial institutions.
  • Negotiate vendor contracts and manage renewals to support company operations.
  • Plan and organize company events and assist with additional projects as necessary.
Qualifications:
  • Proficient in both English and Spanish.
  • Experience in a dynamic, multitasking role within an international setting.
  • Demonstrated expertise in facility management, administration, or a related discipline.
  • A minimum of 5 years in a role that encompasses general administration, facility management, and team leadership.
  • Self-motivated with the ability to manage multiple tasks effectively.
  • Exceptional organizational skills and a keen eye for detail.
  • Strong analytical capabilities, with proficiency in Excel, PowerPoint, and Word.
