Main Purpose of the Job

The Sales Coordinator will provide administrative support to the Sales and Marketing department, ensuring the smooth operation of daily tasks and workflows.

Key Responsibilities
  • Handle daily email correspondence, forwarding incoming emails to relevant departments.
  • Manage administration for Fam Trips, maintaining status updates in the CRM and flagging arrivals 48 hours in advance.
  • Create or review complimentary request forms, ensuring approval by the DOSM/ADOSM/Sales Manager.
  • Draft trade mailings and assist in creating quarterly newsletters.
  • Prepare cooperation agreements, barter agreements, value-adds, and tactical offer flyers.
  • Handle voucher requests and update content in online portals such as WETU, Safari Portal, and The Travel Hub.
  • Ensure OneDrive/Sharepoint collateral and files are up-to-date.
  • Develop and complete brand/property profiles for trade show registrations.
  • Assist with production of graphics for trade shows.
  • Download S&M property month-end reports in the CRM, proofread, and prepare for distribution.
  • Submit content for travel directories and partner brochures/website features.
  • Proofread brochure pages/online content.
  • Assist DOSM in creating comprehensive competitor reviews and rate checks.
  • Update the CRM, OneDrive, and Sharepoint as required.
  • Follow up on payment of program invoices and commission payment invoices.
  • Compile partner production statistics from property PMSs for annual leisure contracting.
  • Prepare expense reports.
  • Support the Sales & Marketing team with other admin-related tasks as requested.
Requirements
  • The position will be home-based in or around Barcelona until further notice, or alternatively, based in our office in Ciutadella de Menorca.
  • Minimum 2-3 years of experience in a similar role for a hotel or hotel company.
  • Exceptional attention to detail.
  • Able to handle complex and intricate tasks.
  • Fluent in English.
  • Good understanding and knowledge of the travel industry and its requirements.
