JOB DESCRIPTION:
This role is responsible for overseeing all aspects of business travel for HBX Group. This includes selecting and negotiating with vendors such as TMCs, airlines, hotels, and car rental agencies, managing travel policies, supporting company budgets, and identify trends and opportunities for cost savings, and make recommendations for improvements to travel policies and procedures.
The role must also stay updated on industry trends, manage relationships with travel providers, and provide support to employees with travel-related issues. Additionally, the corporate travel officer may be tasked with implementing technological solutions to streamline the booking and expense reporting process.
This role requires strong organizational skills, attention to detail, excellent communication abilities, and the ability to work well under pressure.
**Responsibilities**:
Vendor Management- Negotiate contracts or rates with travel service providers.
Spend optimization & reporting- Collects and analyzes travel data, prepares regular reports, and identifies cost savings opportunities.
Travel Operational Support- Primary point of contact for operational issues, responds to employee inquiries, provides guidance and support for safe and efficient travel, and coordinates with suppliers and internal teams.- Administration of travel management tools, expense management and other travel systems; profile management, policy management etc.
Maintaining travel policies and procedures- Maintaining the company's travel policies and procedures updated and aligned with company directions.- Prepare and share direct communication to employees on travel updates.- Report as needed any non-compliance matters to Risk and Compliance.
Corporate Travel related projects & initiatives- Supporting travel related projects, such as change of suppliers, system implementations, integrations etc.
Duty of care- Manage as required the Duty of Care process.
Sustainability- Work with Sustainability department to implement and align sustainable initiatives having impact on travel.
**Skills**:
- Excellent verbal and written communication skills (English required)- Customer focused, commitment to people management- Strong attention to detail- Strong organisational skills- Autonomous, self-motivated and proactive- Flexible, adaptable and resilience to cope with pressure at peak times- Adaptable, flexible, able to take initiative and prioritize among competing demands- Proficiency in Microsoft Office Suite and travel management software
**Experience**:
- Proven experience in corporate travel management, preferably in a similar industry.Knowledge of travel management systems and tools- Knowledge of travel regulations and compliance- Knowledge of T&E reporting and processing- Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint)
