Our local brands are founded on the connections between people, and as an international group we create networks of talented Adevintans who work together towards a common purpose across geographies and disciplines. **Job Description**: What you’ll do As the Executive Assistant to the CFO, you will work closely with the CFO to ensure the appropriate management and overall direction of their administration and general day-to-day tasks. You will also collaborate with Executive Assistants in other locations to support the CFO during travels, ensure smooth execution of administrative tasks and manage any related requirements that may arise Key Responsibilities The extent of your duties will include but are not limited to: - Communication: - Communicating directly, and on behalf of the Executive with Executive team, and others on matters related to Adevinta and its executives priorities. - Managing confidential information. - Providing a bridge for smooth communication between the Executive and internal departments; demonstrating leadership to maintain confidentiality, trust and support with senior management staff. - Maintaining a strong working relationship with other departments - Composing and preparing confidential correspondence; completing expense reports. - Executive and Board Meeting support - Assisting with meetings and internal events agenda for the year ahead, liaising with members of the board, senior partners, non-executive directors and departmental managers to ensure all internal events and review meetings are set appropriately. - Preparing minutes of meetings and assisting with the follow up actions from meeting outcomes. - Helping the team make consistent decisions by advising them of historical precedent. - Calendar / agenda management: - Owning the team calendar and managing the daily Executive calendar and schedule. - Planning, coordinating, and ensuring the executive schedule is followed & respected. - Issue identification and prioritization: - Providing a "gatekeeper" role, creating win-win situations for direct access to the executive's time - Researching, prioritizing, and following up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature; determining appropriate course of action, referral, or response. - Prioritizing conflicting needs; handling matters expeditiously, proactively, and following-through on projects to successful completion, often with deadline pressures. - Operating model optimization: - Being responsible for the overall direction and coordination of the team’s administration. - Developing administration procedures to respond to the operating style of the Manage - Providing insights & ideas on how to manage the executive and his leadership team life more efficiently. - Contributing to team development, effectiveness and success by sharing knowledge and good practice, working collaboratively with others to create a productive, diverse and supportive working environment. - Travel and event management: - Coordinating and managing travel. The executive assistant will be tasked with developing extremely complex, detailed and organized travel itineraries and agendas as well as compiling documents for travel-related meetings. - Organising events e.g. quarterly events, off-sites, team meetings, including managing budgets and deadlines and general event/coordination activities. - Other duties as assigned. **Qualifications**: Who you are - Basic Skills: Active learning, active listening, critical thinking and must possess strong attention to detail. - Social Skills: Coordination, instructing, negotiation, persuasion, service orientation, social perceptiveness. - Problem Solving Skills: Complex problem solving; identifying complex problems and reviewing related information to develop and evaluate options and implement solutions. - Systems Skills : Judgment and decision making, social perceptiveness. - Resource Management Skills: Time management. - Desktop Computer Skills: Google Suite experience (Gmail, Calendar and Drive).
