Job Summary

We are seeking a highly skilled High-Level Administrative Support Specialist to provide exceptional support to our Senior leaders.

About the Role

The ideal candidate will be responsible for planning, organizing, and coordinating diaries/agendas of senior leadership team members. This includes planning internal/external events and meetings, frequent interaction with various levels of the organization, and contributing to ADP's continuous success using excellent organizational and interpersonal skills.

Main Responsibilities:
  • Manage busy diaries, coordinate meetings, and ensure scheduling is conflict-free;
  • Extensive international travel booking, including flights, hotels, transportation, visas, and itineraries;
  • Arrange visits for VIPs to multiple international offices;
  • Organize conferences with guest speakers and serve as the primary contact for suppliers;
  • Coordinate team meetings, including Senior Leadership team-building activities;
  • Event planning and organizing team huddles, utilizing technology to connect with offsite locations;
  • Collaborate with globally based teams across multiple time zones;
  • Serve as the gatekeeper and main point of contact for the Executive team;
  • Occasionally work out-of-hours to cover international hours when the manager is traveling;
  • Process expenses, raise POs, chase invoices, resolve company credit card issues;
  • Set up new companies on the system and create onboarding plans;
  • Provide ad-hoc support, including travel visas, staff gifts, research, fine-tuning presentations, book couriers, and last-minute changes to travel;
  • Solve simple IT/Facilities problems and contact the IT/Facilities department when necessary;
  • Handle confidential information with integrity;
  • Prepare meeting agendas, perform research for meetings, and occasionally take minutes during meetings;
  • Liaise with clients and business guests, maintaining professionalism and strict confidentiality with all materials.
Requirements:

To be successful in this role, you will need:

  • A minimum of five years' experience as an EA;
  • Strong problem-solving and decision-making skills;
  • Excellent computer skills, including Windows and MS Office programs (MS Word, Excel, Outlook, and PowerPoint are essential);
  • Fluent written and spoken English & Spanish;
  • Strong time management skills, attention to detail, and the ability to organize and coordinate;
  • Professional, independent, with initiative, assertive, and collaborative (team-oriented) qualities;
  • Tech-savvy;
  • Flexible;
  • Discretion.
Benefits:

This role offers a competitive salary of $80,000 - $110,000 per annum, depending on experience, plus a range of benefits, including health insurance, retirement savings plan, and opportunities for professional growth and development.
