Facilities Manager

We are seeking a highly skilled Facilities Manager to join our team at Casa Spain. As a key member of our operations team, you will be responsible for ensuring the smooth running of our retail stores in Spain and Portugal. Your primary focus will be on maintaining and operating our facilities efficiently, including coordinating repairs, handling payments, and planning engaging events and activities. You will work closely with our Country Manager and Field Manager to ensure that all maintenance tasks are completed on time and within budget. Your expertise in facility management will be essential in ensuring that our stores meet the highest standards of safety and compliance. Key Responsibilities:
- Oversee activities of external Facility Management service providers for maintenance, inspection, and repairs.
- Work with landlords, tenants, and service providers to ensure they implement and recognize all procedures, policies, and reporting formats.
- Ensure contractors meet standards for preventive and curative maintenance, especially during refurbishment, store openings, and closures.
- Ensure all planned preventive and regulatory maintenance is up-to-date, with proper issuance of maintenance reports and mandatory documentation & compliance.
- Oversee and manage repairs, propose technical solutions, and track maintenance tasks to completion.
- Obtain and present required technical documents and certificates from local authorities when necessary.
- Assist with work orders, cost controlling, and approval of additional costs. Check invoices for approval.
- Provide weekly reports on contractor activities, operational interventions, and support the Country Manager/ Field Manager with maintenance planning.
- Ensure safety procedures are followed by contractors and coordinate corrective actions with certified safety entities.
- Manage daily operations, including building systems, equipment, and utilities.
- Coordinate the tools of the employees such as laptops, mobile phones, corporate credit cards, etc. with IT department.
- Carry out periodic inspections and risk analysis, dealing with a variety of inspections (good consumers, electronics, etc.).
- Controlling bank POS devices, bank deposit cards and credit cards.
- Coordinate and administratively manage property portfolio; renewals, terminations, etc.
- Maintain property documentation such as leases, title deeds and maintenance records.
- Monitor compliance of all real estate with laws and regulations, including regional and municipal regulations.
- Point of contact for landlords.
- Handling complaints and disputes.
- Working with appointed real estate mediators.
