Administrative Assistant

About the Role
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Olala Homes in Barcelona. As an Administrative Assistant, you will be responsible for providing administrative support to our procurement and supply chain management team.
Key Responsibilities
- Answer phone calls and handle correspondence
- Coordinate shipments and manage purchase orders
- Organize and file physical and digital documents
- Prepare administrative or financial reports as requested by management
- Assist in planning and organizing meetings, events, and business trips
- Maintain an up-to-date database of reliable suppliers
- Monitor supplier performance and manage relationships to ensure quality service
- Request quotes and negotiate with suppliers to obtain the best conditions in terms of price, quality, and delivery time
- Manage inventory of office supplies and control the budget assigned to the purchase of supplies
Requirements
- Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or a related field
- Proven experience in procurement, purchasing, or a similar role
- Strong negotiation and vendor management skills
- Excellent communication and interpersonal skills
- Ability to work collaboratively and manage multiple tasks effectively
- Strong analytical and problem-solving skills
- Fluent in English; additional languages are an advantage
