Job Summary:

We are seeking a highly organized and detail-oriented Contract Support Specialist to join our team at JLL. As a key member of our facilities management team, you will provide administrative support to our Facilities Managers and ensure the smooth operation of our facilities.

Key Responsibilities:

  • Provide administrative support to Facilities Managers, including preparing and maintaining Standard Operating Procedures (SOP) manuals and other related documents.
  • Assist in the preparation and submission of monthly reports and outstanding project tasks.
  • Maintain accurate records of performance measurement information in support of contract performance requirements.
  • Ensure suppliers provide services in accordance with contract scope and work in a safe manner.
  • Work closely with Facilities Managers and functional teams to ensure accurate processing of quotations and purchase orders.
  • Utilize the CAFM System to ensure all statutory, mandatory PPM and reactive tasks are captured and recorded correctly.
  • Raise and assign work orders to relevant resources.
  • Ensure compliance with JLL policies, procedures, and standard practices.
  • Build relationships between occupants, FM staff, and suppliers.
  • Communicate effectively with all levels of internal teams and external customers.
  • Resolve customer complaints promptly.
  • Identify and implement innovation across the contract to enhance performance and meet client expectations.
  • Promote and maintain JLL culture throughout teams.

Requirements:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum 1-2 years of experience in facilities management or a related field.
  • Excellent communication and organizational skills.
  • Ability to work in a fast-paced environment and prioritize multiple tasks.
  • Proficiency in Microsoft Office and CAFM Systems.
