About the Opportunity

We're seeking a highly skilled Executive Support Specialist to provide top-notch assistance to a senior executive at IQVIA. This role is ideal for someone who thrives in a fast-paced environment and excels at working with people at all levels.

Key Responsibilities

  • Arrange meetings, conference calls, and events, both domestically and internationally.
  • Coordinate travel arrangements and logistics for on-site and off-site meetings.
  • Lead the administrative team and collaborate with employees, customers, and business associates at all levels.
  • Screen visitors and phone calls, locate executives or take messages as needed.
  • Maintain administrative processes and filing systems.
  • Draft responses and set priorities and procedures, delegating tasks when appropriate.
  • Ensure confidentiality standards regarding all matters and documents.
  • Manage the executive's internal and external calendar and time.
  • Perform various personal services, including making reservations and scheduling.
  • Conduct research or fact-finding to prepare the executive for internal activities, public events, speaking engagements, or similar affairs.

Requirements

  • A high school diploma or equivalent.
  • No less than five (5) years of experience in advanced administrative roles.
  • Proficiency in PC skills, including Microsoft Outlook, word processing, spreadsheet, and database management software.
  • Exceptional organizational and time management skills.
  • Excellent follow-through and ability to execute reminders without being intrusive.
  • Outstanding judgment, professionalism, diplomacy, and discretion.
  • A commitment to high standards of excellence, regardless of deadline pressures.
  • Flexibility to adjust to constantly changing demands and priorities.
  • A team player mentality.
  • Effective communication skills with company executives, employees, vendors, and customers at all levels.
  • Proactive problem-solving skills, with the ability to identify complex problems and develop solutions or recommendations.

IQVIA is a leading global provider of advanced analytics, technology solutions, and clinical research services to the life sciences industry. Our salary range for this position is between $60,000 and $80,000 annually, depending on experience.
