About the Role

We are seeking a highly skilled and experienced Administrative Support Specialist to join our team at Sin nombre. As an Administrative Support Specialist, you will play a critical role in ensuring the smooth operation of our office and supporting our team members in their daily tasks.

Key Responsibilities

  1. Administrative Tasks: Maintain accurate and up-to-date records, manage files, and provide administrative support to the Operations and Finance departments.
  2. Contract Management: Manage contracts, non-disclosure agreements, and other documents, ensuring timely renewals and storage.
  3. Office Management: Oversee office supplies, control correspondence, and coordinate parcel collection.
  4. GDPR Compliance: Ensure adherence to GDPR regulations, serving as the primary point of contact for updates, audits, and compliance.
  5. Collaboration: Work closely with HR and Delivery departments to ensure efficient processes and smooth business operations.
  6. Reporting: Create reports and business cases as needed, gathering relevant information.
  7. Event Coordination: Organize and coordinate events, ensuring seamless execution and effective communication.
  8. Support Services: Provide support for company events, travel arrangements, and itineraries.

Requirements

  • Administrative Experience: Proven experience in office administration, preferably with Office 365 or GSuite.
  • Collaboration Tools: Familiarity with asynchronous and collaborative working tools, such as Slack and/or Microsoft Teams.
  • Communication Skills: Excellent interpersonal and communication skills, with the ability to work effectively with diverse teams.
  • Language Skills: Fluency in English (minimum C1 level) is required, as we are an international team.
  • Time Management: Strong time management skills, with the ability to prioritize tasks and manage multiple projects.
  • Office Experience: Experience working in an office environment, preferably in an administrative role.
