Role

As a Guest Operations Coordinator, you will oversee the entire lifecycle of bookings, from initial booking to post-check-out, ensuring seamless and efficient processes that meet Ukio's high standards of service and customer satisfaction. You will be the primary point of contact between stakeholders, including the Guest Team, Sales Team, Strategy & Transformation, IT, and Finance.

Key Responsibilities
  1. Booking Management:
    - Manage the entire lifecycle of bookings, ensuring accurate, efficient, and timely completion of all processes.
    - Coordinate with relevant teams to ensure necessary preparations, services, and follow-ups are completed as required for each booking.
  2. Stakeholder Coordination:
    - Develop and maintain strong relationships with key stakeholders to ensure alignment and effective communication throughout the booking process.
    - Act as the central hub for communication between teams, ensuring all parties are informed of booking status, requirements, and any changes.
  3. Operational Excellence:
    - Work as part of a team to ensure all bookings are handled efficiently, taking ownership of the overall process to ensure tasks are completed in a timely and accurate manner.
    - Identify and resolve any issues or bottlenecks in the booking process to ensure a smooth and seamless experience for guests and stakeholders.
  4. Process Improvement:
    - Continuously review and refine booking processes to improve efficiency, reduce errors, and enhance customer satisfaction.
    - Work closely with the Strategy & Transformation team to implement new processes, tools, and technologies that support efficient booking management.
  5. Relationship Management:
    - Foster good relationships and alignment with key stakeholders, including Sales, Strategy & Transformation, IT, Finance, Marketing, and Global Operations, to ensure a collaborative approach to booking management.
  6. Administrative Support:
    - Provide administrative support related to booking management, including maintaining booking records, updating systems, and ensuring all relevant information is captured accurately.
  7. Reporting & Analysis:
    - Generate and maintain reports on booking performance, identifying trends, areas for improvement, and opportunities for increased efficiency.
About You
  1. Bachelor's degree in Business Administration, Operations, or a related field.
  2. 1+ year of experience in operations coordination, booking management, or a related role.
  3. Fluency in English and Spanish.
  4. Strong organizational and multitasking skills, with the ability to manage multiple bookings and stakeholders simultaneously.
  5. Proactive problem-solving abilities and a strong sense of ownership and accountability.
  6. Experience working with cross-functional teams and managing complex processes.
  7. Familiarity with booking management software or tools is a plus.
  8. Strong analytical skills, with experience in reporting and data analysis.
  9. Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
