Position Summary
The Production Coordinator plays a vital role in supporting the Department Manager on a daily basis, serving as the primary point of contact for team members within the department. This position is essential for maintaining accurate departmental records and facilitating communication regarding scheduled events.
Key Responsibilities
- Collaborate with the Production Supervisor and Department Head to manage and uphold the department schedule effectively.
- Track the progress of tasks assigned to artists or sequences using Shotgun, ensuring all data is current and accurate.
- Work alongside the Production Supervisor and Department Head to prioritize departmental tasks in alignment with show priorities.
- Maintain production data in the studio's database, reflecting all scheduled, ongoing, and completed work.
- Coordinate meetings as requested, ensuring the calendar is well-managed and conflicts are addressed.
- Prepare for meetings and reviews, documenting and distributing notes that accurately reflect action items.
- Facilitate the flow of work entering and exiting the department, ensuring all communications are clear and complete.
- Act as a secondary support to the Production Supervisor, responding to inquiries from both internal and external stakeholders.
- Engage with Artist Leads daily to monitor task delivery timelines.
- Assist in maintaining quotas and deadlines, generating weekly reports, and addressing potential schedule or budget concerns.
- Understand the workflow of the department and coordinate effectively with other departments to ensure seamless transitions.
- Communicate departmental needs to other teams as necessary.
- Stay informed about ongoing issues within the department and escalate information to the Production Supervisor as needed.
- Support the Department Head and CG Supervisor in resolving departmental challenges.
- Coordinate crew meetings and manage multiple daily sessions, including client reviews.
- Ensure all meetings are well-prepared, setting up necessary technology and accurately documenting outcomes.
- Keep abreast of current production methodologies and technological advancements that enhance the creative and technical environment.
- Collaborate with team members to foster a supportive working atmosphere.
- Follow guidance from Supervisors and Leads, while also mentoring Production Assistants.
Qualifications
- A minimum of 3 years of experience in the VFX or animation industries, preferably in a Production Coordinator role.
- Bachelor's degree in film, art, communications, or a related field.
- Proficient in Google Spreadsheets, Microsoft Outlook, Excel, and Word.
- Strong command of the English language.
