Position Summary
As a Production Coordinator, you will play a crucial role in supporting the Department Manager on a daily basis, serving as the primary point of contact for team members within the department. Your responsibilities will include maintaining departmental records, managing schedules, and providing essential administrative support.
Key Responsibilities
- Collaborate with the Production Supervisor and Department Head to manage and uphold the department schedule effectively.
- Track task progress for assigned artists or sequences using Shotgun, ensuring accurate representation of scheduled, in-progress, and completed work.
- Work alongside the Production Supervisor and Department Head to prioritize departmental tasks in alignment with show priorities.
- Maintain production data in the studio's database, ensuring all records reflect current project statuses.
- Coordinate meetings as requested, managing calendars with attention to deadlines and potential conflicts.
- Prepare for meetings and reviews, documenting and distributing notes that accurately reflect action items.
- Facilitate the flow of work entering and exiting the department, ensuring completeness and accuracy in communications.
- Assist the Production Supervisor in monitoring quotas, deadlines, and inventory to meet departmental productivity goals.
- Understand the workflow dependencies between departments to ensure seamless transitions of work.
- Maintain open communication with other departments regarding their needs and requirements.
- Stay informed about on-floor issues and escalate information to the Production Supervisor as necessary.
- Support the Department Head and CG Supervisor in addressing departmental challenges.
- Organize crew meetings and manage multiple daily sessions, including client reviews.
- Ensure thorough preparation for all meetings, including setting up necessary technology and documenting action items.
- Keep abreast of current production methodologies and technological advancements to enhance the creative and technical environment.
- Collaborate with team members as needed and provide mentorship to Production Assistants.
Qualifications
- Minimum of 3 years of experience in the VFX or animation industry, preferably as a Production Coordinator in feature animation or VFX.
- Bachelor's degree in film, art, communications, or a related field.
- Proficient in Google Spreadsheets, Microsoft Outlook, Excel, and Word.
- Strong command of the English language.
