Position Summary
As a Production Coordinator, you will play a vital role in supporting the Department Manager on a daily basis and serve as the primary point of contact for team members within the department. Your responsibilities will include maintaining departmental records, communicating scheduled events, organizing key meetings, and providing comprehensive administrative support.
Key Responsibilities
- Collaborate with the Production Supervisor and Department Head to manage and maintain the department schedule effectively.
- Track the progress of tasks for assigned artists or sequences in Shotgun, ensuring accurate reflection of scheduled, in-progress, and completed work.
- Assist in prioritizing departmental tasks in alignment with the production priorities established by the Production Supervisors and Production Manager.
- Maintain and enter production data in the studio's production database, ensuring all records are current and accurate.
- Schedule and coordinate meetings as requested, proactively managing calendars and addressing potential conflicts.
- Prepare for meetings and reviews, accurately recording and distributing notes that reflect action items.
- Coordinate the flow of work entering and leaving the department, ensuring completeness and accuracy in communications.
- Respond to inquiries from both internal and external stakeholders, acting as a point of coordination.
- Follow up with Artist Leads to ensure task deliveries remain on schedule.
- Assist in maintaining departmental quotas, deadlines, and inventory, generating weekly reports as needed.
- Communicate effectively with other departments regarding departmental needs and issues.
- Support the Department Head and CG Supervisor in addressing departmental challenges.
- Facilitate crew meetings and manage multiple daily sessions, including client reviews.
- Stay informed about current production methodologies and technology trends to enhance the creative and technical environment.
- Mentor Production Assistants and collaborate with team members as necessary.
Qualifications
- Minimum of 3 years of experience in the VFX or animation industries, preferably as a Production Coordinator in feature animation or VFX.
- Bachelor's degree in film, art, communications, or a related field.
- Proficient in Google Spreadsheets, Microsoft Outlook, Excel, and Word.
- Strong command of the English language.
