Administrative Support Trainee

El/la candidato/a realizará la gestión y seguimiento del proceso completo de los pedidos de servicios suministrados a nuestros clientes en España.
Desde la entrada del pedido hasta la entrega al cliente final, manteniendo una óptima comunicación con el resto de los departamentos involucrados (Ventas, Customer Service, PAG, Expediciones, Facturación, etc.) y con su tratamiento en los diferentes sistemas SAP, GEP, ONBASE…
El puesto está localizado en las oficinas de Sant Joan Despi en Barcelona y formará parte del departamento de Equipment Customer Service Spain dentro de Industrial Engineering Solutions.
Principales responsabilidades:
Procesamiento de los pedidos de clientes referente a los servicios que realizamos en sus instalaciones.
Servicios:
Gestión y procesamiento de servicios, que podemos clasificar en las siguientes categorías:
Servicios puntuales (limpiezas y desinfecciones, reparaciones, etc.)
Mantenimientos mensuales/trimestrales/anuales de nuestros equipos en clientes
Instalaciones para nuevos equipos
Una parte de estos servicios son gestionados por proveedores externos, y por lo tanto la gestión abarca desde la recepción del pedido del cliente y sus costes, su procesamiento en SAP, tramitación de solicitudes de pedido para creación de pedidos a proveedores externos, recepción confirmación del pedido de proveedor, modificación de nuestro pedido si es necesaria, seguimiento y conformidad de la realización del servicio, cierre de los pedidos de proveedores, y en algunos casos facturaciones a los clientes. Esta gestión se tiene que realizar en diferentes sistemas/plataformas y manteniendo una constante relación con departamentos internos como con proveedores externos. En este complejo proceso, es vital el trabajo en equipo, tanto dentro del mismo departamento en cuanto a la coordinación con otras áreas de este, como con otros departamentos involucrados en el proceso (Ingeniería, Ventas, Credit Control, Purchasing Admin Group, Billing, etc.)

En cualquiera de estas áreas, es preciso realizar otro tipo de tareas que, sin ser continuas, en algunos momentos son necesarias, como actualización de materiales en el sistema, actualización de ciertos parámetros que se utilizan en la introducción del pedido en SAP como ubicaciones técnicas, equipos, etc., actualización de datos de proveedores, algunas veces es una acción adicional realizada por nosotros (diferentes transacciones en SAP) y en otras ocasiones requiere del soporte de otros departamentos como Customer Master Data o Equipment Master Data, etc.

Manejo de informes adicionales (Excel) para control.
Archivo digital de cada pedido
Educación/conocimientos/experiencia:
Formación Superior administrativa o equivalente
Inglés: Nivel medio-alto
Seria ideal tener buenos conocimientos básicos o experiencia previa de 1-2 años trabajando con SAP.
Good to have: Experiencia profesional en procesamiento de pedidos, servicio al cliente, soporte a la red de ventas y proveedores (locales y/o extranjeros)
Es importante que tenga buenas habilidades de comunicación y relaciones interpersonales que son fundamentales para el desarrollo del trabajo debido a la interacción continua con otros grupos internos y externos.
Debe ser una persona resolutiva y colaborativa
Debe de adaptarse a puntas de trabajo bajo presión
