Job Summary

We are seeking a proactive and detail-oriented individual to join our Administration Team in Barcelona as a Trainee/Intern. The successful candidate will support the development, management, and coordination of various events, seminars, and meetings, as well as assist with administrative tasks, travel arrangements, and registration fees.

Key Responsibilities
  • Support the planning and execution of scientific events, seminars, and meetings, including logistical arrangements and coordination with stakeholders.
  • Assist with visitor arrangements, travel booking, and hospitality reimbursement.
  • Manage registration fees for conferences and courses.
  • Organize seminars, events, and unit meetings, including agenda planning, bookings, and catering.
  • Support the logistics for workshops and meetings scheduled in 2024 and 2025.
  • Contribute to the development of process maps and workflows.
  • Support the onboarding of new staff and assist with administrative tasks, such as purchase orders and reimbursements.
Requirements
  • Studying or have a degree in Public/Business Administration, HR, or Event Management.
  • Basic understanding of administration and office environment with attention to detail.
  • Excellent communication and interpersonal skills, with the ability to work effectively with people of different cultural backgrounds.
  • Good organizational skills, reliability, and ability to plan and prioritize work.
  • Innovative and analytical mindset, with the ability to effectively communicate and collaborate cross-functionally.
  • Fluency in written and spoken English.
