Executive Assistant - Iberia Enabling Functions
YOUR TASKS AND RESPONSIBILITIES
As an Executive Assistant, you will work under limited supervision and act on your own initiative to perform various administrative duties in support of Iberia Enabling Functions Heads (CFO, HR Head, COM & Corp PA Head and LPC Head) and their respective teams.
This will be an in-office role with the option to work hybrid and assignments generally involve work of a confidential nature and require a thorough knowledge of the practices and procedures of the function, company products, policies and programs.
This role will report to Iberia CFO.The primary responsibilities of this role, as Executive Assistant are as follows:
- Detailed knowledge of the activities, operations and people of the organization
- Perform advanced secretarial and administrative support including manage and maintain executive's schedules, coordinate appointments, travel and logistic arrangements
- Prepare and arrange meetings and management events including content development, collect and analyse data to prepare reports and documents, create and distribute meeting minutes and presentations
- Establishes and maintains departmental databases and develops spreadsheets of importance to department.
- Gather feedback and proactive tracking of action lists and open items coordinating activities across departments and follows up to ensure that requests are carried out;
- Build and maintain appropriate network and collaboration with other assistants and areas to share and reinforce the coordination among departments, regions and operation needs
- Support the use of technological and innovative tools and deployment of corporate initiatives on a local basis.
- Support to ensure full implementation of all governance rules and corporate guidelines.

- High school diploma or associate's degree
- Many years of professional experience as an assistant in senior management with relevant experience in cooperation at board level
- Sensitivity to confidential matters

- Strategic thinking and flexibility
- Excellent interpersonal skills: ability to work with internal management and employees at different hierarchical levels as well as with external stakeholders in a trusting and resultsoriented manner
- Ability to prioritize and complete multiple tasks with mínimal constraints
- Strong organizational skills and high problemsolving skills
- Change management skills is a plus
- Excellent communication skills in Spanish and English, both spoken and written
- Strong software and research skills
