What this job involves
**Overall responsibility for key vendor relationships**:
Oversee the management of the in-house service meetings & events. Service provision includes:
Room Bookings
Hospitality ordering
Room Set-ups
Working closely with key groups and vendors, such as cleaning, security and AV (as above)
The MES Supervisor is responsible for ensuring that vendors are managed in line with the IFM vendor management process, and in accordance with contracts, measurable KPIs and SLAs.
In all instances, the MES Supervisor is responsible for working closely with the onsite delivery teams to ensure that:
Discuss, schedule, book, modify, advise, and coordinate SITE events from initial discussion to invoicing
First point of contact for booking spaces or rooms for events
Room booking and modification, to contact other clients if necessary to find alternatives in case of multiple bookings for the same space
Advise and seek solutions for service needs for different types of events, both from an AV perspective and facilities perspective
Coordinate teams from different providers (Hard, Soft, AV, Catering, etc.)
Support teams during events
Economic monitoring and cost compilation
Full compliance to EHS regulations is continuously achieved
Services are managed and delivered consistently across the SITE
Vendor is managed in line with the IFM vendor management process
Vendor is managed strictly in line with both IFM and client contract, and associated agreed SLAs and KPIs
Reporting flows through from the vendors to the IFM team in accordance with IFM and client requirements
Budgets and all financial requirements flow through from the vendors to the IFM team in accordance with IFM and client requirements
Key relationships are built with Facilities Managers, Assistant Facilities Managers, Soft/Hard Services Managers and EMEA Program Team in order to ensure delivery goals are met
Build a strong relationship with the onsite client
Support on RFP’s related to the MEF role
Support audits (as above) across areas affected by the delivery service related to events/meetings.
The Meeting & Events Services Supervisor role will also be expected to ensure the consistency and quality of all other GREF (Global Real Estate & Facilities) mandated Hospitality services offered within the regions. For example:
Provision of standard products in meeting rooms
Key Performance Indicators
SLA & KPI tracking systems (PPM and Critical PPM compliance measurement)
Response time to Service Requests within the Client’s severity requirements
Compliance with local Health and Safety regulations
Customer Satisfaction
Pursue continuous improvement
Ability to work in collaborative team environment
Vendor/contract management
Decision making / complex problem solving
Excellent verbal & written communication
High level of IT literacy
Strong communication skills
Assertiveness
Demonstrates a good working knowledge of soft services
Ideally 6 years + exposure in hospitality role within a large commercial organization.
Experience of owning facilities contracts and supplier/ contractor management
Experience of managing conferencing services essential
Experience of working with quality, environmental and EHS management systems essential
Quality, EHS and environmental related accreditations desirable
HCIMA Membership desirable
Facilities Management industry recognised related qualifications desirable
Educated to degree level or equivalent
