**Job Summary:**
We are seeking a highly skilled Business Operations Specialist to support the sales cycle process, ensuring the integrity and accuracy of sales orders, payments, and fulfillments. The ideal candidate will be responsible for handling the Order to Cash process, including quotes follow-up, tenders management, and translation reviews, serving as the primary point of contact for customers for any after-sales support or information.
Key Responsibilities:- Transaction Processing: Ensure accurate and timely transactions processing, maintaining high-quality standards.
- Cross-Functional Collaboration: Collaborate with other departments, such as Customer Service, Finance, Legal, Purchasing, and Marketing, to achieve business objectives.
- Liaison Role: Serve as a liaison between Spanish Sales representatives and other departments, facilitating agreements, purchase orders, supplier qualification forms, and accounts receivable processes.
- Customer Follow-up: Make timely follow-ups with customers and collaborate with fellow team members (Finance, Customer Service team) to ensure all invoices are paid on time.
- Record Maintenance: Maintain accurate records in the customer relationship management (CRM) system.
- Business Performance Monitoring: Assist the Business Operations Manager with revenue tracking and KPIs reporting to monitor business performance.
- Tender Qualification: Handle the qualification process for Public administrations' tenders.
- ERP Implementation: Proactively support the new ERP implementation (IFS) locally in Spain, managing system testing, training, and supporting in writing procedures, and play a key role in the conversion process to the new system with international cross-functional teams.
- Additional Tasks: Perform other tasks and responsibilities as assigned.
- Education: Bachelor's degree, or equivalent work experience required.
- Customer Service Experience: 3+ years of demonstrated customer service experience.
- Contracts Management: Demonstrated knowledge of contracts management process.
- ERP and CRM Experience: Demonstrated experience using an ERP and CRM system.
- Attention to Detail: Strong attention to detail and goal-oriented.
- Flexibility and Prioritization: Strong flexibility and ability to prioritize and manage multiple tasks and responsibilities.
- Problem-Solving: Proven ability to problem-solve to overcome obstacles and achieve results.
- Interpersonal and Communication Skills: Excellent interpersonal and communication skills.
- Verbal and Written Communication Skills: Excellent verbal and written communication skills.
- Microsoft Office Applications: Proficient in Microsoft Office Applications.
- Language Requirements: Must be a native Spanish speaker and authorized to work in Spain.
- ERP Implementation Experience: Previous experience in managing an ERP implementation project, preferably in a multinational company.
- Accounting/Finance Knowledge: Basic knowledge of accounting/finance.
- Additional Education or Experience: Additional years of relevant experience in customer service or a combination of an Associate's degree or equivalent and relevant experience may be substituted for the Bachelor's degree.
- English Language Proficiency: Fluent in English.
