The Workplace Team
The Workplace team is dedicated to providing an unparalleled on-site hub experience, ensuring a productive and engaging atmosphere. They also focus on cultivating a strong company culture, promoting employee engagement across the organization by leading initiatives such as space planning, well-being, and company events.
Job Responsibilities:
- Office Operations Management: Oversee daily office operations at our Barcelona Hub, ensuring seamless day-to-day activities and managing operational challenges. Manage Jira tickets related to office requests, manage access in liaison with the landlord, be the main point of contact for the landlord, manage office supplies, equipment, and inventory, implement and maintain office policies and procedures, set up and manage all processes related to facility management, cleaning, access management, onboarding, offboarding, and events in liaison with our IT, People Operations, Community, and Hospitality teams.
- Food and Beverage Program Management: Collaborate with our Hospitality team to develop and manage the office's food and beverage program, including daily operations, vendor relationships, and budget oversight. Support our Community and event manager to manage special catering requests for events and meetings.
- Internal Communications: Manage all office-related communication with our employees working from the offices via Slack.
- Facility and Cleaning Services Coordination: Ensure the office facilities are well-maintained, addressing any issues promptly in liaison with the landlord. Oversee cleaning services to maintain a clean and hygienic office environment. Schedule and supervise regular maintenance and repairs.
- Event and Community Initiatives: Plan and execute office events and community-building activities in collaboration with the Community and Event Specialist. Foster a vibrant office culture through regular social, professional development, and wellness events.
- Onsite Onboarding and Employee Support: Support new hire onboarding processes, ensuring a welcoming and outstanding experience for new employees. Manage weekly onboarding tours through our office building. Act as a point of contact for new employee inquiries and issues related to the workplace.
- Health, Safety, and Employee Wellbeing: Implement and maintain health and safety protocols in compliance with local regulations.
What You'll Be Doing
This role involves overseeing daily operations at our Barcelona Hub, ensuring a smooth and productive work environment. You will be responsible for managing office supplies, equipment, and inventory, implementing and maintaining office policies and procedures, and coordinating with various teams to ensure seamless day-to-day activities. Additionally, you will support the development and management of the office's food and beverage program and collaborate with the Community and Event Specialist to plan and execute office events and community-building activities.
Salary Range
€50,000 - €60,000 per annum (dependent on experience)
