Executive Assistant for Real Estate Investment Banking Team

About the Role:
We are seeking a highly skilled Executive Assistant to support our Real Estate Investment Banking team in Madrid. The successful candidate will provide administrative support to the team, ensuring seamless day-to-day operations and enabling the team to focus on delivering exceptional results.
Key Responsibilities:
- Diary Management: Manage complex diaries across multiple time zones, ensuring proactive and forward planning to enable preparation and focus time.
- Inbox Management: Organize and manage email communications, ensuring timely responses and escalating any issues to the relevant team members.
- Travel Arrangements: Coordinate international travel, including meeting and transport arrangements, confirming accommodation, and producing detailed itineraries.
- Client and Colleague Communication: Develop and maintain effective working relationships with clients and colleagues, dealing with telephone calls and emails in a professional manner.
- Meeting Support: Organize meetings, booking rooms and equipment, and attending meetings to record minutes and actions.
- Project Support: Provide administrative support on project work, as required.
Requirements:
- Excellent Communication Skills: Great verbal and written communication skills, with the ability to work independently with minimal supervision.
- Team Player: A team player who works with a Partnership mentality, dealing effectively with colleagues and clients.
- Technical Skills: Proficient in Microsoft applications, including Word, Excel, and PowerPoint.
- Discretion and Judgment: Understands and appreciates the importance of using discretion, with the ability to use appropriate judgment when responding to the needs of senior-level directors.
- Flexibility and Adaptability: Adopts a flexible approach to work, with the ability to multitask and prioritize tasks.
- Excellent Interpersonal Skills: Has an excellent telephone manner and interpersonal skills, with the ability to deal with a wide variety of people and clients.
