Job Summary
The Administrative Coordinator will provide administrative support to the Career Development Center at Iese Business School. This role is responsible for ensuring the day-to-day running of all activities and events to aid IESE students in their job search.
Main Responsibilities
- Provide general administrative support with internal technical platforms, departmental mailboxes, data reports, organization of events, liaison with other departments, purchasing orders, etc.
- Manage job platform: approving new companies, inserting new job postings, managing deadlines, generating CV books, giving feedback from companies, controlling student offers and updating the system accordingly.
- Take ownership and coordinate activities online and on-campus ensuring everything runs smoothly.
- Organize events including scheduling, publishing in the student platform, logistics, invitations, attendance check and post-delivery follow-up.
- Be the liaison between students, companies and Iese Business School by responding to inquiries and solving issues.
- Assist Associate Directors to find new companies recruiting on campus and make contact by email and phone.
- Produce documents and/or presentations using Word, Excel, PowerPoint.
Requirements
- Ability to handle multiple tasks simultaneously, meeting deadlines and anticipating needs.
- Pro-active and flexible, able to act under pressure and ability to learn and adapt to new scenarios.
- Working with two different managers.
- Spirit of service and organizational skills are key competences for this role.
- Excellent interpersonal oral and written communication.
- Analytical skills and attention to detail.
- Self-motivated and resilient.
- Cultural acceptance, awareness and mutual respect is a must.
- Strong computer skills.
- Experience with MS Outlook, Word, Excel, and PowerPoint required.
- Experience in an office environment working in a team preferably in a support function.
