Key Responsibilities
  • Calendar Management: Schedule and coordinate appointments, meetings, and events for the CSO, ensuring seamless daily operations and efficient use of time.
  • Inbox Management: Manage all correspondence as the gatekeeper, summarizing and chasing documents, collaborating with the Legal team, and coordinating with teams across different business units.
  • Travel Coordination: Arrange and coordinate travel plans, including flights, accommodations, and transportation, in conjunction with the Travel Manager.
  • Communication Management: Draft and respond to correspondence on behalf of the CSO, disclose information about new starters, and set up one-on-one meetings.
  • Meeting Support: Prepare meeting agendas, materials, and presentations, attend meetings, take minutes, and follow up on action items.
  • Information Management: Organize and maintain files, documents, and records for easy accessibility, conduct research, and compile information as needed for various projects.
  • Office Administrative Support: Provide general administrative support, oversee office management, and act as a liaison between the CSO and other staff members.
  • Project Coordination: Assist in planning and coordinating special projects or events, monitor project timelines, track progress, and ensure deadlines are met.
  • Confidentiality and Discretion: Handle sensitive and confidential information with discretion, maintaining a high level of confidentiality in all interactions and communications.
  • Relationship Management: Build and maintain relationships with internal and external stakeholders, act as a point of contact for inquiries or requests directed to the CSO.
  • Problem Solving: Anticipate and address potential issues, finding solutions proactively, and handle unexpected challenges efficiently and effectively.
Requirements
  • 4-5 years of experience as an Executive Assistant, preferably in the Tech industry.
  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Native level of English is a must, and fluent level of Spanish is a plus.
  • Exceptional organizational, analytical, and time-management skills.
  • Experience in fast-paced, dynamic environments with the confidence to handle change effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and prioritize tasks.
  • High level of attention to detail and accuracy.
  • Proven ability to handle confidential information with discretion.
