Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Blu Selection. As an Administrative Assistant, you will play a crucial role in supporting our project activities, process documentation, and training materials.
Key Responsibilities- Project Support: Prepare project meetings and materials, take notes, and provide administrative assistance as needed.
- Process Documentation: Support the development and maintenance of process documentation, including training materials and procedures.
- Training and Coaching: Assist in training and coaching new joiners, ensuring a smooth onboarding process.
- Information Management: Gather, review, and manage information and documents from various stakeholders, ensuring accuracy and compliance.
- Customer Data Management: Gather customer information, create and manage customer master databases, and ensure alignment between different systems.
- Invoice Management: Gather and document customer invoicing specifics, work closely with teams to automate or produce invoices according to requirements, review revenue, and check compliance.
- Reconciliation: Receive self-billing information, manage reconciliation, and identify, assess, categorize, and solve invoice errors and disputes.
- Communication: Provide accurate and timely responses to internal and external customer queries and requests.
- Collaboration: Work collaboratively with all stakeholders, including Middle Office, local finance, and business teams, to deliver excellent results.
- Reporting: Generate reporting for business needs, including invoices and credit notes.
- Language: Native level of Dutch and fluent English.
- Education: Business Administration Degree or equivalent.
- Experience: Previous successful experience working in a shared service center environment, preferably in Billing, Customer Service, HR, or Sales.
- Skills: Proactive problem-solving, quality-oriented, detail-focused, excellent communication and organizational skills.
