Program Assistant

IE University is seeking a highly organized and detail-oriented Program Assistant to join its team. As the first point of contact with students and professors, this role involves assisting the Program Management team with administrative tasks, managing communication flows, and ensuring a high standard of service for students and faculty.

Key Responsibilities:
  • Provide exceptional customer service to students and professors, addressing queries and providing assistance with empathy and professionalism.
  • Manage a high volume of emails and respond promptly to student queries, ensuring timely and accurate communication.
  • Liaise and coordinate with other departments on a wide range of administrative issues, including logistics and operations.
  • Process internal expense reports, manage logistics for program deliveries, and compile and update databases with student information.
  • Contribute to the preparation and editing of reports and presentations, analyzing existing data-gathering systems and procedures to support their improvement and development of new ones.
  • Produce and translate documents, briefing papers, reports, and presentations to support Directors in their tasks.
Requirements:
  • Bachelor's Degree is preferred.
  • Fluency in both English and Spanish, with excellent communication skills (verbal and written).
  • Proven track record of customer interface, excellent organizational skills, and a "can-do attitude".
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
  • Curious, open to learning, and with strong team-working skills.
  • Strong desire to work in a multicultural environment.
  • Candidates must possess a valid EU work permit.
