Executive Assistant, Investment Banking Team Lead

Job Summary:We are seeking an Executive Assistant to join our Real Estate Investment Banking team in Madrid. The successful candidate will provide administrative support to our team, ensuring the smooth operation of our business.
Key Responsibilities:- Manage the diary of the team, ensuring a proactive approach to enable preparation and focus time.
- Organize complex international travel, including meeting and transport arrangements, confirming accommodation, and producing detailed itineraries.
- Ensure the most cost-effective and sustainable options are booked, in line with JLL's T&E policy.
- Deal with telephone calls and emails from clients and colleagues in a professional manner and escalate any issues.
- Develop and maintain effective working relationships with clients and colleagues.
- Organize meetings and book the relevant rooms and equipment.
- Provide presentation support, including formatting, reworking, and proofreading.
- Provide wide-ranging administrative assistance, including support with project work.
- Attend meetings and record minutes and actions.
- Great verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Team player with a Partnership mentality, able to work effectively with colleagues and clients.
- PC literate, with a good understanding of technology as a tool.
- Excellent knowledge of Microsoft applications, including Word, Excel, and PowerPoint.
- Intuitive nature and desire to learn and progress.
- Ability to use discretion and make appropriate judgments when responding to the needs of senior-level directors.
- Shows initiative and takes action in response to the needs of the team.
- Adopts a flexible approach to work and is able to multitask and prioritize tasks.
- Excellent telephone manner and interpersonal skills, with the ability to deal with a wide variety of people and clients.
