**Job Summary**:
- The Position holder is responsible for Administration & Office Support and assists in cross-function admin tasks for HR, HSE, Facilities, etc. The position reports to the Global Account Director - Spain.
Successful Position holders are excellent communicators, enjoy solving problems, and work well in teams. The position will be for a fixed-term period of 12 months as Maternity Cover.
**Essential Responsibilities and Duties**:
**HSE & Facilities Tasks**
- Emergency Response Plan Update and Employees HSE meeting point check list update as per Blueflex.
- HSE first POC for Facility Building and parking responsible.
- Labor risk Supervisor POC and actions to be performed (labor risks documentation updates for employees and contractors, office and teleworking assessment, pregnancy, etc.)
- HSE induction to office visitors.
- Employees Medical Checks arrangement
- Facility Admin - Update and coordinate facility actions (fire, electricity, maintenance, iWorkplace bookings and updates )
- ARC update for Sustainability reports
- Facility Operations and Maintenance internal audits to perform.
- Office license activity completion
- LRA - Local Registration Authority - Badge requests, office access control and untaint LDAP records
- SSO - Site Security Officer
**HR Admin Tasks**
- POC in Spain for queries for HR Representative, HR Payroll Analyst and HR Benefits
- POC for questions related to the Spanish laws (i.e.: maternity/paternity leaves, maternity part time reduction, paid permissions, vacation days, sickness leave etc)
- POC for hired employees and supervisor on employee’s terminations.
- To send out data for payroll-based activities.
- Support on updating the addresses with the Authorities (Social Security card request, townhall etc)
- Check lunch paid by expense reports to be deducted from meal voucher distribution.
- Review and edit LOIs, presentation letters to Consulates and support with Visas.
- To collect the receipts of benefits and business ERs
**Tax Admin Tasks**
- POC for Spain Tax Agency
- Ensure that all the Spain tax payments are paid on time.
- POC of tax advisor in Spain (General matters, certificates, D4 form etc.)
- Request NRCs codes to the bank for monthly and annual tax payments to be provided to tax advisor for taxes final submissions.
- Collection and sending Invoices to the Tax Accountant for tax form declarations.
- Send out notifications received by the Tax Agency and request approval for annual activity income tax to the Tax West EUR Manager
- Ensure that income tax certificates are delivered on time for annual declarations.
- Branch financial annual accounts registration follow up.
**Administration Tasks**
- SAP Data Entry
- Complete National Statistics Surveys data reporting
- Archiving docs and maintaining filing physical file
- American Express invoices specific control list
- Request quotations in general
- New vendors requests, data updates and follow-up
- Flight bookings and/or changes for some employees
- Requests POs in SRM, do the follow-ups and submission of Good Receipts accordingly.
- Support to events organization/transports
- Cell Phones: Checking the monthly invoice and negotiation with vendor.
- Negotiation with suppliers including office leaser.
- Bank guarantee request and control for office lease
- Letters preparation for clients, vendors, authorities, governments, employees.
- Receive and meet visitors and clients at reception.
- Answering and directing all incoming and internal calls through the switchboard
- Manage daily mail.
- Administrative general staff
- Booking hotels for some visitors
- Maintain the stock of stationery updated.
- Filing storage update
- Support on IT department to control the assets of the office (mainly laptops) and assets disposal control.
- Support on IT on internet connection restoring and checking some IT devices remotely.
**Requirements**:
- Fluent in English
- A minimum of 3 years of experience in data entry.
- Safety Inclined in a fast-paced environment.
- SAP experience or Trained in SAP (desirable)
- Organizational skills
- Motivated
