Main Job Authority

Reception & Visitor Experience

  • Serve as the first point of contact for visitors, clients, and external partners.
  • Welcome and assist visitors in a professional, friendly, and courteous manner.
  • Notify employees of visitor arrivals and support a positive visitor experience.
  • Maintain a professional and welcoming reception area.
  • Offer refreshments and ensure guests feel comfortable and well attended during their visit.

Access Control & Security

  • Manage visitor access and ensure compliance with security procedures.
  • Issue, track, and collect visitor badges.
  • Support access card administration and maintain visitor records.
  • Monitor reception and common areas to ensure a secure environment.

Mail & Package Management

  • Receive and distribute incoming mail, parcels, and courier deliveries.
  • Record deliveries and notify recipients promptly.
  • Coordinate with courier service providers when required.

Meeting Room & Office Support

  • Ensure meeting rooms are organized, equipped, and ready for use.
  • Support meeting setup, hospitality arrangements, and office events.
  • Assist with general office operations and administrative coordination as needed.

Workplace safety

  • Maintain a safe and secure working environment for employees, visitors, and contractors.
  • Support workplace health and safety procedures and ensure compliance with office policies.
  • Monitor office facilities and report any health, safety, or maintenance issues promptly.
  • Contribute to a safe, organized, and welcoming workplace environment.

Vehicle test Safety Management

  • Coordinate test vehicle parking and charging arrangements in the underground garage.
  • Support related safety management and ensure compliance with company procedures.

Assist in reporting and escalating any issues requiring attention.

Minimum Qualifications

  • Previous experience as a Receptionist, Front Desk Officer or similar customer-facing position.
  • Strong customer service orientation and hospitality mindset.
  • Excellent communication and interpersonal skills.
  • Professional appearance and polished presentation.
  • Ability to remain calm, courteous, and efficient in a fast-paced environment.
  • Strong organizational and multitasking skills.
  • Good working knowledge of Microsoft Office applications.
  • Experience using visitor management systems and access control systems is an advantage.
  • Fluency in English and Spanish is required; Chinese or additional languages are a plus.
  • High level of discretion, reliability, and attention to detail.
