The Clinical Medical Office Assistant position is part of the Specialty Health Care Department and is a full-time role working Monday–Friday, 8:00 AM – 4:30 PM, approximately 80 hours per pay period. This position supports the daily operations of the practice by performing a blend of clinical and administrative tasks to ensure efficient patient flow and high-quality service. The role works closely with physicians, nurse practitioners, nursing staff, and ancillary departments to provide coordinated, patient-centered care. Responsibilities include patient intake, exam preparation assistance, routine clinical procedures, appointment scheduling, documentation, and general office operations while maintaining professionalism, accuracy, and strong communication in a busy outpatient environment.
QualificationsHigh school graduate or equivalent.
Minimum two years of experience in any physician practice setting or one year of physician office experience.
BLS certification or ability to obtain within 60 days of employment.
Knowledge of infection prevention principles.
Strong written and verbal communication skills and professional interpersonal abilities.
Proficient computer skills, including keyboarding, Windows navigation, email, and EMR use.
Ability to operate standard office equipment (fax, scanner, copier, telephone).
Knowledge of medical procedures and medical terminology preferred.
Ability to prioritize, make decisions based on urgency, and work independently.
Demonstrated initiative, dependability, and commitment to teamwork.
Key Responsibilities
Provide direct patient care under the direction of licensed staff.
Perform clinical tasks such as obtaining medical histories, recording vital signs, preparing exam rooms, collecting laboratory specimens, and assisting with diagnostic/treatment procedures.
Perform clerical functions including greeting patients, answering phones, scheduling appointments, and completing daily computer entry tasks.
Obtain pre-certifications and ensure timely, accurate documentation in the EMR.
Support patient flow and coordinate care with nursing staff and ancillary departments.
Adhere to organizational policies, procedures, and quality standards.
Maintain a safe and clean work environment following all safety and infection control guidelines.
Attend mandatory in-service programs and maintain a professional appearance.
