Dotted line management: Heads of Admissions at school level and their Admissions Coordinators
Line management: Regional Contact Centre Team

Overview

The Regional Admissions Manager for the Iberia Region plays a key role in driving enrolment growth and ensuring the successful delivery of the ISP admissions strategy across a rapidly expanding region. Iberia currently comprises 12 schools in Spain, 3 in Portugal, and a central Contact Centre team, with continued growth expected.

This role is highly operational and hands-on, supporting all admissions teams to deliver a consistent, high-quality experience for prospective families. The postholder must be enthusiastic, energetic, data-driven and strongly committed to applying the ISP Admissions Process. They will also embrace continuous improvement, introducing small but impactful enhancements while keeping team morale high and maintaining consistency across the region.

Key Responsibilities

1. Regional Leadership & Team Support

  • Provide day-to-day operational support to school-based Admissions teams and the Regional Contact Centre.
  • Act as dotted-line manager to Heads of Admissions and Admissions Coordinators, ensuring alignment with the ISP admissions strategy and best practices.
  • Lead, manage and develop the Contact Centre team to maximise enquiry conversion and service quality.
  • Foster a collaborative, high-performance culture across the region, maintaining strong team morale and engagement.

2. Admissions Process Implementation

  • Ensure the consistent implementation of the ISP Admissions Process across all schools.
  • Champion the process by modelling best practice, reinforcing expectations and supporting teams in applying it with rigour.
  • Identify opportunities for continuous improvement and propose small, sustainable enhancements that increase efficiency without disrupting team stability or motivation.
  • Support teams with sales techniques, customer experience standards, follow-up strategies and professional development through training and coaching.

3. CRM & Data Management

  • Oversee regional CRM management (HubSpot), ensuring accurate and timely data entry across all schools and the Contact Centre.
  • Work closely with schools to ensure alignment and accuracy between HubSpot and each school's MIS.
  • Guarantee the reliability of admissions data used for reporting on new enrolments, re-enrolment and retention.

4. Reporting, KPIs & Analysis

  • Lead the set-up, review and delivery of the bi-weekly regional KPI report.
  • Provide guidance to schools on interpreting performance data and identifying opportunities for improvement.
  • Analyse admissions trends and provide actionable insights that support both performance and process evolution.
  • Present key findings to the Regional Head of Admissions and other regional stakeholders.

5. Operational Excellence

  • Work closely with schools to move pipeline opportunities forward and secure conversions.
  • Act as the first point of support for operational admissions challenges across the region.
  • Demonstrate a proactive and solutions-oriented approach while maintaining a positive environment for all team members.
  • Ensure all admissions activities reflect ISP values and contribute positively to the family experience.

Essential Skills & Experience

  • Proven experience in school admissions, customer service, sales or a related field.
  • Strong sales acumen with the ability to influence, coach and support others.
  • Highly operational mindset with the ability to thrive in a fast-paced, multi-site environment.
  • Strong analytical skills, with experience working with CRMs (HubSpot desirable) and data reporting tools.
  • Excellent communication skills in English and Spanish; Portuguese is an advantage.
  • Ability to build strong relationships across teams and seniority levels.
  • Energy, enthusiasm and a proactive attitude.
