**Job Description**:
To work closely together with the Facilities Manager for the daily operations of the Facilities department in Spain. We are looking for a highly efficient and motivated Facilities Assistant for our offices in Barcelona.
Some of the key responsibilities:
- Being actively involved in the car fleet management to be able to back up when Facilities Manager is in other country or off.
- Prowatch RA entrance badges management for Spain
- First point of contact for all building related issues, open tickets in landlord database, escalate to Facilities manager (if needed)
- Threat incoming & outgoing mail
- Create all Shopping Carts for the Facilities department
- Creation of new vendors in database for all Barcelona based employees
- Dispatching incoming phone calls
- Dispatch incoming parcels and threat all outgoing parcels national and international
- Work together with Facilities Manager to ensure all EHS rules are followed in the office
- Soft drinks, coffee and al cafeteria related orders
- Continuously looking for improvements and cost savings in direct area and make proposals for Facilities Manager
- Follow up transportation requests
- Follow up incoming invoices, dispatch to Poland, send reminders if needed
- Prepare visitor badges and ensure all visitors cooperate with the RA security rules in our office
- Manage Robin desk booking system
- Maintain meeting room reservations
- Office supplies orders with Lyreco
- Take well defined responsibilities in case of emergencies f.i. evacuation
- Ensure correct meeting room set up and make sure the tools available in the rooms work properly
- Admin support for Real Estate department
Skills, Knowledge, Experience and Education
- Bilingual Spanish, English
- Punctual, reliable and organized
- Working experience in a facilities department, ideally in a corporate environment
- Computer literate: exposure to Windows, MS Office
