Our client, the boutique trading and shipping subsidiary of a multinational firm are looking for a bright and proactive Office & Administrative Assistant to support their close-knit Madrid team.

Being a small team, the responsibilities are wide and are spread across (but are not limited to):
Administrative Assistant tasks:

- Preparing and organising necessary documentation for shipments (in English)
- Drafting and preparing standard maritime paperwork using templates
- Ensuring necessary documentation submitted in a timely manner and according to schedule
- Managing records and archiving
- Supporting team with any Ad-hoc administrative tasks as required

Team Assistant tasks:

- Supporting Director with agenda and calendar
- Supporting Director with travel logistics
- Coordination with clients and offices across multiple time zones (predominately Asia)

Office Manager tasks:
Day-to-day management and administration of office, ensuring smooth running

Communicating with key client and negotiating with suppliers
- Receiving visitors in the office, managing cleaning services, insurance documentations
- Management of IT tasks, coordinating with the accounting and finance department for invoicing and payroll, in conjunction with Director

Location - Madrid, Barrio Salamanca

Salary - Circa €24,000

Timetable - 08.00h - 16.00h or 09.00h - 17.00h (full time 40-hour contract)
