Within the Academy, Urban Mobility Explained (UMX) offers a variety of training programmes and experiences on hot topics in urban mobility and transport for professionals and organisations around Europe. In close collaboration with universities, business schools, consultancies and mobility experts, this lifelong learning initiative uses different formats including light online material in a YouTube channel, online courses (asynchronous), and face‑to‑face (F2F) courses (on‑site, online synchronous and blended).

Be part of a team where:

The Course Officer will report to the Academy Course Business Manager and to the Head of Professional Education. You will be involved in supporting our providers in the design, production, commercialisation, delivery, and reporting of part of the UMX face‑to‑face (F2F) training course portfolio.

Key responsibilities

  • Training Project & Course Management:
  • Lead the day‑to‑day project management and quality monitoring of applied courses (on‑site, online, and blended) developed by EIT Urban Mobility and/or its course providers. Support the sourcing/onboarding of these partners and subcontractors, and guide them to ensure they deliver in accordance with the EIT Urban Mobility Academy's quality, budget, and impact requirements. Drive the operational transition toward a higher quality of blended courses while ensuring providers comply fully with course delivery checklists. Additionally, you will be required to occasionally attend live training sessions to conduct quality reviews and act as an ambassador for EIT Urban Mobility, presenting our mission, who we are, and the rationale behind our support for the course to the learners.
  • Administrative & Financial Execution:
  • Support the execution of the relevant administrative tasks and procedures (RFPs, EOIs, Calls for proposals, timesheets, contracts, etc.) needed to deliver F2F courses, in collaboration with EIT Urban Mobility's legal, finance, and PMO teams. Manage the preparation and signature follow‑up for Commercial Agreements (CA) and Service Agreements (SA), escalating negotiations to senior leadership when required. Manage financial workflows in NetSuite (EIT Urban Mobility’s internal project portal), including budget requisitions, releasing payments, and invoicing for revenue collection.
  • Monitoring & Quality Assurance:
  • Take day‑to‑day responsibility for monitoring project KPIs and milestones in accordance with EIT requirements. Provide regular reporting on the progress of activities, fulfilment of deadlines, production of output, and resource consumption. Conduct NetSuite management reviews for deliverables and interim/final reports, maintain main reporting sheets, and possibly support the implementation of the EIT Label within Academy courses.
  • Marketing & Cross‑Functional Support:
  • Support marketing and sales activities relative to F2F courses to reach UMX’s revenue generation and financial sustainability targets. Assist with marketing coordination, including drafting texts, selecting courses, and updating WordPress. Provide general administrative and operational/organisational support to the broader Professional Education and Academy teams, ensuring synergies with other initiatives (X‑KIC, UM Consultancy, Master School, DTN, etc.) when relevant.
